Diary Coordinator

We’re recruiting on behalf of a well-established organisation within the fire and security sector for a Diary Coordinator to join their busy Service Team in Gillingham.

You’ll be responsible for coordinating engineers, managing appointments and ensuring work is scheduled efficiently and delivered within agreed timescales.

Key responsibilities include:

  • Scheduling new and renewed maintenance jobs.
  • Managing and maintaining the engineering team’s diary.
  • Handling cancellations, changes and last-minute adjustments.
  • Coordinating engineer availability and overtime.
  • Reviewing daily schedules and preparing for upcoming appointments.
  • Allocating engineers to jobs based on their skills, experience and availability.
  • Booking engineer appointments and supporting daily engineering requirements.
  • Working with the wider Service Team to ensure work is completed within agreed KPIs.
  • Communicating with engineers to resolve scheduling issues.
  • Completing general administration, including data entry, emails and telephone enquiries.
  • Supporting the Service Team Manager with departmental targets.

You’ll ideally have:

  • Previous experience in customer service, coordination, scheduling or administration.
  • Excellent organisational skills and strong attention to detail.
  • The ability to manage multiple priorities and deadlines.
  • Strong communication and relationship-building skills.
  • A flexible, reliable and professional approach.
  • The ability to remain calm and resilient under pressure.
  • Good knowledge of Microsoft Office and confidence using digital systems.
  • A strong commitment to providing excellent customer service.
