Hours: Monday to Friday, 08:30 - 17:00

The Opportunity
We are recruiting on behalf of a well-established and growing business for a highly organised Projects Coordinator to join their busy Projects Delivery team based in Gillingham.
This is an excellent opportunity for an experienced coordinator, scheduler, or administrator who enjoys working in a fast-paced environment and thrives on keeping projects running smoothly. The successful candidate will play a key role in supporting project delivery, coordinating engineering resources, managing schedules, and providing administrative support to Project Managers.
Experience within the fire and security sector would be advantageous, but it is by no means essential. Candidates from engineering, construction, facilities management, maintenance, building services, or other project-led environments are encouraged to apply.
Key Responsibilities
As Projects Coordinator, you will support projects from initial award through to completion, ensuring resources, documentation, and project administration are managed effectively.
Duties will include:
- Coordinating engineer schedules and allocating labour across multiple projects.
- Managing diary changes, rescheduling requirements, and reactive adjustments.
- Matching resources to project requirements based on skills and availability.
- Monitoring workforce utilisation to maximise operational efficiency.
- Supporting Project Managers with project setup and ongoing administration.
- Processing accepted quotations and assisting with project mobilisation.
- Raising order acknowledgements and maintaining project records.
- Ordering materials, equipment, and subcontractor services.
- Assisting with invoicing and financial administration.
- Supporting document control processes, including RAMS and other project documentation.
- Acting as a central point of contact between engineers, customers, Project Managers, and internal teams.
- Helping ensure projects are delivered on time and in line with customer expectations.
About You
To be successful in this position, you will have:
- Previous experience in a project coordination, scheduling, administration, or operations support role.
- Experience managing diaries, resource planning, or workforce scheduling.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent attention to detail and accuracy.
- Good working knowledge of Microsoft Office, particularly Excel, Outlook, and Word.
- Strong communication and stakeholder management skills.
- A proactive and customer-focused approach.
- The ability to remain calm and adaptable in a busy environment.
Desirable Experience
- Experience using SimPRO or similar job management software.
- Experience working within engineering, construction, building services, fire and security, or technical service environments.
- Knowledge of RAMS and project documentation processes.
- Understanding of compliance requirements within a project-led business.
